SMS guides

Everything you need to send, buy, and manage phone numbers for SMS.

💬

Send an SMS

SMS
1

Go to Send SMS

In the sidebar, open the Send Message menu and choose SMS. This takes you to /send/sms.

2

Choose a source number

Pick the sending number from the Source number dropdown, or check Use Alphanumeric Sender ID to send from a branded sender ID instead.

3

Choose your recipient

Type a number directly under Recipient number, or tick Send to contacts / Send to groups and pick from the list. You can add a new contact inline with the + Add contact button.

4

Write your message

Enter your text in the Message box. Use the toolbar to add emoji, personalisation variables, a saved template, or attach a file/image. The counter shows your remaining characters and credit cost, e.g. (1) 42/160.

5

Send now or schedule

Under Schedule, choose Now to send immediately, or Later to pick a date and time (available on plans with scheduling included).

6

Send

Click Send SMS. Use the dropdown arrow next to it if you'd also like the message to open as a ticket (Send as Open, In Progress, Waiting, On Hold, Resolved, or Closed).

Good to know

  • You need at least one active phone number to send SMS — if you don't have one yet, you'll be redirected to purchase one.
  • SMS sending requires SMS KYC verification to be approved first.
  • To reply inside an existing conversation instead, open the thread in your Inbox and use the reply box at the bottom — it has the same message tools in a compact form.
🛒

Buy a Phone Number

SMS
1

Go to Purchase Numbers

In the sidebar, go to Manage → Phone Numbers card → Purchase (or Manage → Phone Numbers → Manage → Purchase).

2

Search for a number

Choose a country, a number Type (Mobile, Local, National, or Toll-free — options vary by country), and optionally filter by digits the number starts or ends with. Click Search.

3

Purchase a number

Click Purchase next to the number you want from the results table.

4

Complete verification details

In the Purchase Number dialog, fill in your business address, contact info, business use case, company registration number, and website, then upload proof of business address and an ID/passport or company certificate. All fields are required.

5

Confirm purchase

Click Purchase. You may be taken to a Stripe checkout to complete payment.

Good to know

  • Purchased numbers take 24–48 hours to be approved by the carrier before they can be used — the number will show as Processing until then, and you'll get an email once it's active.
  • US numbers require 10DLC registration after purchase, which can take 1–2 weeks — Havari handles this via Telnyx.
  • Free trial ('pool') numbers work differently — they show as Free with a countdown of days remaining rather than a monthly cost, and expire unless you purchase or port a permanent number.
🔁

Port an Existing Number

SMS
1

Go to Port Number

In the sidebar, go to Manage → Phone Numbers card → Port (or from Manage → Phone Numbers → Manage → Port Number).

2

Check portability

Select your number's country code and enter the number under Number to port, then click Check Portability.

3

Fill in the port request

Once confirmed portable, complete the End User Information (entity name, authorised person, billing phone number, email) and Location Details (address, city, state/province, postal code, country).

4

Upload required documents

Download the Letter of Authorization (LOA) template, sign it, and upload it, along with a recent invoice (within 90 days) from your current carrier showing the number.

5

Submit

Click Submit Port Request. You may be taken to Stripe checkout to set up billing for the ported number.

Good to know

  • Porting will end all services with your current carrier — only port numbers with SMS capability.
  • Ported numbers are billed at your plan's monthly phone number price once the port completes.
  • Porting typically takes 7–10 business days from submission.
Email

📧

Connect Gmail

Gmail

4

Done

Good to know

  • Works with Google Workspace and personal Gmail accounts.
  • You can connect multiple Gmail addresses, and share any connected account with specific team members using the share icon on its row.
  • If a connection shows Token expired or Error, click Reconnect on that account.
📨

Connect Outlook / Microsoft 365

Outlook
1

Go to Manage Email

In the sidebar, go to Manage → Email, then open the Connected Accounts tab.

2

Click Connect Outlook

Under Connect a new account, click Connect Outlook. You'll be redirected to Microsoft's sign-in.

3

Sign in & authorise

Sign in with the Microsoft account you want to connect. Grant Havari permission to access your mailbox.

4

Done

Your Outlook account appears in Connected Accounts as Active, and its emails start syncing into your inbox automatically.

Good to know

  • Compatible with Outlook.com, Hotmail, and Microsoft 365 business accounts.
  • Shared mailboxes can be connected if you have access to sign in to them.
  • If a connection shows Token expired or Error, click Reconnect on that account.
🔀

Email Forwarding (any provider)

Any provider
1

Create a shared inbox

In the sidebar, go to Manage → Email → Shared Inboxes tab, then click New inbox.

2

Choose Forwarding email

Pick Forwarding email as the inbox type, name the inbox (e.g. Support), and enter the Sending address you'll reply from (e.g. support@yourbusiness.com).

3

Copy your Havari forwarding address

After creating the inbox, add any team members, then copy the unique Forwarding address shown — this is where your provider will forward mail to.

4

Set up forwarding in your provider

Log in to wherever your domain email is hosted and add a forwarding rule pointing to your Havari forwarding address. See the provider guides below.

5

Send a test & finish

Use Send Test Email in the wizard to confirm it works, then click Finish Setup. Test emails sent to your provider should now appear in this inbox.

Good to know

  • Forwarding works with any email provider — cPanel, Cloudflare, Namecheap, GoDaddy, Zoho, and more.
  • You don't need to change your MX records for forwarding to work.
  • To send replies from your own domain address rather than landing in spam, also complete the DNS setup guide below for that inbox.
  • You can copy the forwarding address again anytime from the inbox's card on the Shared Inboxes tab.

Provider-specific instructions

🖥️ cPanel

  1. Log in to cPanel and open Email → Forwarders.
  2. Click Add Forwarder.
  3. Enter the email address you want to forward (e.g. hello@yourdomain.com).
  4. Choose Forward to Email Address and paste your Havari inbound address.
  5. Click Add Forwarder to save.

☁️ Cloudflare Email Routing

  1. In Cloudflare, go to your domain → Email → Email Routing.
  2. If not already enabled, click Enable Email Routing and follow the prompts.
  3. Under Custom Addresses, click Create Address.
  4. Enter the address to forward (e.g. support@yourdomain.com) and set the Destination to your Havari inbound address.
  5. Save the rule — Cloudflare will confirm it's active.

📧 Gmail Forwarding

  1. In Gmail, go to Settings (gear icon) → See all settings → Forwarding and POP/IMAP.
  2. Click Add a forwarding address and enter your Havari inbound address.
  3. Gmail will send a verification code to the Havari inbox — copy it from the Havari inbox.
  4. Return to Gmail settings and enter the verification code.
  5. Enable Forward a copy of incoming mail and choose your preference for the original.
  6. Save changes.

📨 Outlook / Microsoft 365 Forwarding

  1. In Outlook.com, go to Settings → Mail → Forwarding.
  2. Toggle Enable forwarding on and enter your Havari inbound address.
  3. Optionally tick Keep a copy of forwarded messages.
  4. Save.
  5. For Microsoft 365 admin: use Exchange Admin Center → Mail flow → Rules to forward to external address.

🔷 Zoho Mail

  1. Log in to Zoho Mail and go to Settings → Mail Accounts → Email Forwarding.
  2. Click Add Forwarding Email and enter your Havari inbound address.
  3. Zoho will send a verification link to the Havari inbox — confirm it.
  4. Once verified, enable forwarding from the same settings page.

🔑 Namecheap / Private Email

  1. Log in to Namecheap and go to your hosting → Private Email → Manage.
  2. Select the mailbox and go to Forwarding.
  3. Enter your Havari inbound address as the forwarding target.
  4. Save changes.
🛡️

Set Up a Custom Domain (DNS)

Deliverability
1

Open your inbox's DNS setup

Go to Manage → Email → Shared Inboxes tab. On the inbox using your own domain, click the shield icon (DNS setup for sending).

2

Add the verification record

Add the TXT record shown under Domain Verification (name _amazonses.yourdomain.com) at your DNS provider — this proves you own the domain.

3

Add the 3 DKIM records

Add all three CNAME records shown under DKIM. These sign your outgoing emails and significantly improve deliverability.

4

Add SPF

Add a TXT record at your domain root (@) with value v=spf1 include:amazonses.com ~all. If you already have an SPF record, add include:amazonses.com to it instead of creating a second one.

5

Add DMARC

Add a TXT record named _dmarc with value v=DMARC1; p=quarantine; rua=mailto:dmarc@havari.com; fo=1.

6

Verify

Back in Havari, click Verify DNS. DNS changes can take up to 48 hours to propagate, so it's normal for records to fail the first check.

Good to know

  • If your inbox uses a Havari-managed domain, you'll see a message that SPF, DKIM, and DMARC are already configured — no DNS changes needed.
  • This DNS setup is per sending domain, not per inbox — once verified, other inboxes on the same domain don't need to repeat it.
  • Emails sent from an unverified custom domain are more likely to land in spam or fail to send.
📤

Send an Email

Email
1

Go to Send Email

In the sidebar, open Send Message → Email. This takes you to /send/email.

2

Choose your sending address

Pick the address to send from — this can be a connected Gmail/Outlook account, a shared inbox, or a Havari-provided address.

3

Choose your recipient

Type a recipient email directly, or tick Send to contacts / Send to groups and pick from the list.

4

Add a subject

Enter the Subject line for your email.

5

Write your email

Choose Template mode to start from a saved template in the email builder, or Blank mode for a simple rich-text email with attachments.

6

Send now or schedule

Under Schedule, choose Now to send immediately, or Later to pick a date and time.

7

Send

Click Send Email, optionally using the dropdown to send and set a ticket status at the same time.

Good to know

  • Connected Gmail/Outlook accounts can only send to a single recipient at a time — for bulk sends to contacts or groups, send from a shared inbox or Havari-provided address instead.
  • Email costs 0.1 credits per recipient.
  • You can also reply directly from an open email conversation in your Inbox.
WhatsApp

WhatsApp guides

Set up WhatsApp Business, get verified, add numbers, and send messages and templates.

🟢

Set Up WhatsApp

WhatsApp
1

Go to WhatsApp Setup

In the sidebar, go to Manage → WhatsApp card → Manage. This takes you to /settings/whatsapp-setup.

2

Start setup

Click Set up WhatsApp Business. A secure setup window opens where you connect your WhatsApp Business Account through Meta.

3

Authorise in the popup

Complete the signup inside the popup window — this includes your business name, Facebook Business Manager, and phone number, all handled by Meta directly.

4

Wait for connection

Havari checks the connection automatically. Once complete, you'll see a success message and your WhatsApp Business Account dashboard will appear.

Good to know

  • If you close the popup partway through, click Retry setup to pick up where you left off.
  • Setup can take a few minutes — the page updates automatically once it's done.
  • Once connected, you'll see a Getting ready to send checklist covering registering a number, business verification, and maintaining a good quality rating.

Get Verified

WhatsApp
1

Open your WhatsApp dashboard

Go to Manage → WhatsApp → Manage to see your WhatsApp Business Account dashboard.

2

Check your verification status

The Business Verification card shows your current status: Not Verified, In Review, Verified, or Rejected.

3

Verify on Meta Business Manager

Click Verify on Meta Business Manager. This opens Meta's own site, where you'll need a Meta Business Manager account, business registration documents (e.g. your Companies House number), and a business phone number or email.

4

Wait for Meta's review

Verification is completed entirely on Meta's side and typically takes 1–5 business days. Havari will reflect your updated status automatically once approved.

Good to know

  • Verification isn't done inside Havari — Havari only displays the status Meta has assigned your business.
  • A verified business unlocks higher WhatsApp messaging limits and official business account status.
  • Keeping a good quality rating (only messaging opted-in contacts, using approved templates) helps Meta increase your messaging tier over time.

Add WhatsApp Numbers

WhatsApp
1

Open your WhatsApp dashboard

Go to Manage → WhatsApp → Manage, then find Registered numbers and click Add number.

2

Choose how to add it

Select an existing number from your account to verify by phone call, or choose Guided setup to register a Havari number through Meta's own setup window with step-by-step instructions.

3

Set your display name

Enter the WhatsApp display name customers will see when you message them, then continue.

4

Verify by phone call

Havari temporarily forwards calls on your chosen number to a mobile number you provide, so WhatsApp can call you with a verification code. For the existing-number path, enter the code directly in Havari; for Guided setup, enter it on Meta's own verification screen as instructed.

5

Done

Your number is now registered for WhatsApp. Call forwarding is automatically removed and your number returns to normal service.

Good to know

  • WhatsApp verifies numbers by phone call, not SMS — that's why call forwarding is used.
  • Only numbers already on your Havari account can be registered — to bring your own number, port it into Havari first.
💬

Send a WhatsApp Message

WhatsApp
1

Go to Send WhatsApp

In the sidebar, open Send Message → WhatsApp. This takes you to /send/whatsapp.

2

Choose your WhatsApp account

Select which connected WhatsApp number to send from.

3

Choose your recipient

Type a number under Recipient number, or tick Send to contacts / Send to groups and pick from the list.

4

Write your message or pick a template

Type a free-text message, or select an approved Template if you're messaging someone outside the messaging window.

5

Send now or schedule

Choose Now to send immediately, or Later to pick a date and time.

6

Send

Click Send. You can also use the dropdown to send and set a ticket status at the same time.

Good to know

  • Free-text messages can only be sent to contacts who've messaged your WhatsApp number within the messaging window — outside that window, you'll need to use an approved template to re-engage them.
  • WhatsApp messages cost 0.5 credits per recipient.
  • You can also reply directly from an open WhatsApp conversation in your Inbox using the reply box at the bottom of the thread.
📋

Add a WhatsApp Template

WhatsApp
1

Go to Templates

In the sidebar, open Templates, then click Create → WhatsApp (only shown once you have a WhatsApp number connected).

2

Name your template

Enter a name using only lowercase letters, numbers, and underscores, e.g. order_confirmation.

3

Set category and language

Choose a category (Marketing, Utility, or Authentication) and the language your template is written in.

4

Write your message body

Write the message text. Use {{1}}, {{2}} etc. for variables that will be filled in per contact when sent.

5

Submit for approval

Click Create Template. Meta reviews all WhatsApp templates before they can be used — this usually takes 24–48 hours, and can take up to 5 business days.

Good to know

  • You'll see the template's status on the Templates page — Waiting for approval, Active, or Rejected (with Meta's reason shown).
  • A rejected template's content can't be edited afterwards — you'll need to create a new template with corrected wording.
  • Trial accounts use Havari's own pre-approved templates and can't submit their own — this unlocks on a paid plan.

🔵

Connect Facebook Messenger

Messenger
1

Go to Social Channels

In the sidebar, go to Manage → Social Apps → Messenger card → Manage. This takes you to /settings/social-connect.

2

Connect a Facebook Page

Click Connect Facebook Page. You'll be sent to Facebook to log in and choose which Page(s) to connect.

3

Grant permissions

Approve the permissions Facebook asks for — these let Havari send and receive messages on the Page's behalf.

4

Done

You'll be returned to Havari with your Page connected and ready to receive Messenger conversations in your shared inbox.

Good to know

  • If you manage multiple Facebook Pages, you choose which ones to connect inside Facebook's own sign-in screen.
  • Connecting a Page automatically enables Messenger for it. If that Page also has a linked Instagram account, Instagram DMs are enabled at the same time — see the Instagram guide.
  • You can control which team members can access a connected Page from the Manage Access option on its card.
💬

Send a Messenger Message

Connect Instagram

Instagram
1

Link Instagram to your Facebook Page first

In Meta Business Settings, make sure your Instagram account is set up as a Business or Creator account and linked to the Facebook Page you'll connect to Havari.

2

Go to Social Channels

In the sidebar, go to Manage → Social Apps → Instagram card → Manage. This takes you to /settings/social-connect.

3

Connect your Facebook Page

Click Connect Facebook Page and complete Facebook's sign-in. Instagram is enabled automatically for any connected Page that has a linked Instagram Business or Creator account.

4

Done

Once connected, your Page's card will show your Instagram username, and Instagram DMs will start appearing in your shared inbox.

Good to know

  • There's no separate 'Connect Instagram' button — Instagram rides on your Facebook Page connection.
  • If a Page shows Instagram not linked, go and link your Instagram account to that Page in Meta Business Settings, then reconnect the Page in Havari.
  • If you link Instagram to the Page after already connecting it in Havari, click Connect Facebook Page again to pick it up.
💬

Send an Instagram DM

Instagram
1

Go to Send Instagram

In the sidebar, open Send Message → Instagram, or reply directly from an open conversation in your Inbox's Instagram tab.

2

Choose your account and recipient

3

Good to know

  • Instagram DMs cost 0.5 credits each.
  • See the Messenger & Instagram Message Window guide below for when custom messages vs. templates are allowed.
⏱️

Messenger & Instagram Message Window

Good to know
1

Window opens when they message you

As soon as a contact sends you a Messenger or Instagram message, a messaging window opens — you'll see a banner reading '7-day window open' in the compose screen.

2

Send freely while it's open

While the window is open, you can send free-form custom messages, at 0.5 credits per message.

3

Window closes if they don't reply

If the contact doesn't message you again, the window eventually closes — the banner switches to '7-day window closed' and the message box is disabled.

4

Use a template to re-engage

Once the window is closed, send an approved template message instead — this is the only way to reach the contact again until they message you.

Good to know

  • If you try to send a custom message outside the window, you'll see an error explaining you'll need to use a template instead.
  • The reply box inside an open Inbox conversation doesn't show the window banner ahead of time — you'll only see an error if you try to send while it's closed.

👤

Add a Contact

Contacts
1

Tick Add internal note to attach a note visible only to your team.

5

Create

Click Create Contact. At least one field (name, phone, email, company, job title, or note) must be filled in.

Good to know

  • To bulk-import many contacts at once, use Upload on the Contacts page instead — download the CSV Template first so your columns match exactly.
  • Duplicate phone numbers or email addresses are rejected automatically.
  • You can't set a contact's Contact Type when creating them — that's set afterwards from their profile page.
🏢

Add a Company

Companies
1

Go to Companies

In the sidebar, open Companies. Click Create on the Create company card.

2

Fill in their details

Enter the company name (required), plus phone, mobile, email, website, industry, and address details.

3

Add notes (optional)

Use the Notes field for any internal context about the company.

4

Create

Click Create Company. If a similar company name already exists, you'll be asked whether to use the existing one or create a new one anyway.

Good to know

  • To bulk-import many companies at once, use Upload on the Companies page instead — download the CSV Template first so your columns match exactly.
  • Linking contacts to a company can be done from the contact's profile, or from the company's profile using Add.
🔍

Filter Contacts & Companies

Contacts & Companies
1

Search by name

Use the search box above the table to search by name (and, for contacts, phone number too).

2

Filter contacts by status

On the Contacts table, use the Status dropdown to show only Active, Opt-out, Inactive, Error, or Unknown contacts.

4

Show or hide columns

Click Edit columns to choose which columns are visible in the table and drag to reorder them.

Good to know

  • Filter by field works for things like Contact Type, Company, Job Title, Industry, or any custom field you've created.
  • Once a filter is applied, use Select all to quickly select every matching row for a bulk action like sending a message or editing a field.
🧩

Add Custom Fields

From the Contacts or Companies page, click Field Properties (top right).

2

Choose Contacts or Companies

Switch to the tab for the record type you want to add a field to.

For Dropdown or Multi Select fields, add each option with a label and colour.

5

Save

Click Add field. It's now available immediately when creating or editing a record, in filters, and as a table column.

Good to know

  • Built-in fields (marked with a lock icon) can't be edited or deleted — only custom fields can.
  • Every field and dropdown option has a stable ID, safe to reference in the Havari API, HubSpot syncs, Zapier automations, and MCP integrations.
🕓

See Message History

Contacts & Companies
1

Open a contact or company

Click into any contact or company from their list, or from search.

2

3

Review past conversations

Each card lists that channel's conversations with subject/last message, date, status, and priority.

4

Open a conversation

Click any row to jump straight into that conversation in your Inbox.

Good to know

  • A company's history shows the combined conversations of every contact linked to it.
  • If a channel has no conversations yet, its card will simply say so.
Automations

Automations guides

Build automated flows, then see exactly what every trigger and action does.

⚙️

Build an Automation

Automations
1

Go to Automations

In the sidebar, open Automations. Click New Automation — this creates a draft and opens the builder.

2

Add a trigger

Click + Add Trigger, choose a category (Webhook, Contacts, Companies, Scheduled, Tickets, Messages, or Manual), then pick the specific trigger and configure it.

3

Add steps

Click Add Step below the trigger to add your first action. Keep clicking Add Step to build out the flow — each step runs in order, top to bottom.

4

Configure each step

Click any step to open its settings — e.g. write the message for a Send SMS step, or choose the field for an Update Contact step.

5

Save or publish

Click Save Draft to save your progress without activating it, or toggle the status switch to Live / click Publish to make the automation active.

Good to know

  • An automation only runs once it's set to Live — drafts never fire.
  • You can reorder or delete steps at any time from the builder.
  • Every run is logged — expand Run History at the bottom of the builder to see the status and step-by-step outcome of each run.
▶️

Run an Automation Manually

Automations
1

Create a Manual trigger automation

In the automation builder, add a trigger, choose the Manual category, and select the Manual trigger type. Add whatever steps you want it to run, then set it to Live.

2

Open a contact or company

Go to a contact's profile (from the Contacts page or Inbox) or a company's profile.

3

Click Automations

In the action row at the top of the profile, click the Automations button. This only appears if you have at least one active Manual-trigger automation.

4

Choose and run

Select the automation you want to run from the dropdown list. It runs immediately against that contact or company.

Good to know

  • Steps that require a contact (like Update Contact or Add to Group) will fail with a clear error if run against a company.
  • You can watch an automation's live status — a pulsing Running badge shows on the Automations list and in the run history while it's in progress.

Create and organise templates, build emails, schedule sends, and attach files.

📝

Create a Template

Templates
1

Go to Templates

In the sidebar, open Templates and click Create.

2

Pick a channel

Choose SMS, Email, WhatsApp, Messenger, or Instagram (WhatsApp/Messenger/Instagram only appear once that channel is connected).

3

Fill in the details

SMS and Meta templates just need a name and message text. WhatsApp templates also need a category and language. Email opens the full email builder — see the guide below.

4

Save

SMS templates save instantly. WhatsApp and Meta (Messenger/Instagram) templates are submitted for approval before they can be used.

Good to know

  • Use {{firstName}}, {{surname}}, {{company}}, {{email}}, {{jobTitle}} and similar placeholders to personalise any template — you can add a fallback like {{firstName:customer}} to use if the field is empty.
  • WhatsApp templates typically take 24–48 hours (and up to 5 business days) for Meta to review.
🗂️

Organise Your Templates

Templates
1

Add a category

When creating or editing a template, type a category name — pick an existing one or create a new one on the fly.

2

Star your favourites

Click the star icon on any template row to mark it as a favourite — favourites appear at the top of the template picker when composing a message.

3

Search and filter

On the Templates page, search by name, or filter by Channel, Category, or Status to find what you need.

Good to know

  • Categories are shared across all channels, so you can group SMS, Email, and WhatsApp templates under the same category if you like.
  • The template picker inside any compose box also shows your Recently used templates for quick access.
🎨

Build an Email Template

Email
1

Start a new email template

Go to Templates → Create → Email. This opens the full-page email builder.

2

Name it

Enter a Template name and the Email subject at the top of the page.

3

Start from a sample or blank

Open the samples panel to start from a prebuilt layout (Welcome Email, Newsletter, Appointment Reminder, and more), or start from a blank template.

4

Add and arrange blocks

Add Heading, Text, Button, Image, Avatar, Divider, Spacer, Html, Columns, or Container blocks, and drag them into place.

5

Style each block

Click any block to open its settings on the right — padding, fonts, colours, alignment, and links.

6

Save

Click Save Template (or Update Template if editing an existing one).

Good to know

  • Use the Dynamic Fields button to see all available personalisation variables, including {{unsubscribe}} for a compliant unsubscribe link.
  • If you navigate away with unsaved changes, you'll be prompted to save or discard them first.
📅

Schedule a Message

All Channels
1

Compose your message

Start a message on any Send page (SMS, Email, WhatsApp, Messenger, or Instagram).

2

Choose Later under Schedule

By default, Schedule is set to Now. Select Later instead.

3

Pick a date and time

Use the date/time picker that appears to choose when it should send.

4

Send

Click Send — your message is queued and will go out automatically at the scheduled time.

Good to know

  • Scheduling is available on plans that include the scheduling feature — you'll see an upgrade prompt if it's locked on your plan.
  • To review or cancel a scheduled message, go to Schedules in the sidebar. You can delete a pending schedule, but you can't edit one in place — delete it and create a new one instead.
📎

Send Images & Files

All Channels
1

Open the attachment tools

In any message box, use the paperclip icon to attach a file, or the image icon to attach an image.

2

Choose your file

Pick the file from your device. Files must be 5MB or smaller, and you can attach up to 10 files per message.

3

Review before sending

For SMS and WhatsApp, the uploaded file becomes a link inside your message text. For email, images are inserted directly into the email and other files are attached separately, shown as a chip you can remove.

4

Send as normal

Attachments send along with the rest of your message.

Good to know

  • Supported file types include images (JPEG, PNG, GIF, WEBP, AVIF), video (MP4, MOV, WEBM), PDF, and audio (MP3, OGG, WAV).
  • SMS messages with an image attached are billed as MMS, which costs more credits than a standard text message.
FAQs

Frequently asked questions

Can I connect multiple email addresses?

Yes — you can connect as many Gmail/Outlook accounts and shared inboxes as you need. Each one can be shared with specific team members from Manage → Email.

Will my team see emails I've already received?

When you first connect Gmail or Outlook, Havari imports your recent inbox history. Forwarding setups only capture new emails from the moment the forwarding rule is created.

Can I send emails from Havari using my own domain?

Yes. For Gmail and Outlook connections, replies are sent via your connected account. For a shared inbox on your own domain, complete the DNS setup guide so sends don't land in spam.

How do I disconnect an email account?

Go to Manage → Email → Connected Accounts, find the account and click the trash icon. You'll be asked whether to keep or delete previously synced emails — kept emails are retained for 90 days.

Is my data secure?

Yes. All messages and emails are encrypted in transit and at rest. We only access your accounts to operate the Havari platform on your behalf, in line with our Privacy Policy.

What's the difference between the messaging window on WhatsApp vs Messenger/Instagram?

WhatsApp gives you a 24-hour window to send free-form messages after a contact messages you — outside that, you need an approved template. Messenger and Instagram show a 7-day window in the composer.

Do I need to buy a number for WhatsApp?

You can register an existing SMS number for WhatsApp (verified by phone call), or let WhatsApp provision a new number automatically using just a display name.

Can I schedule a message and then edit it?

Scheduled messages can be deleted from the Schedules page, but not edited in place — delete the scheduled message and create a new one with your changes.

What happens to unused credits at the end of the month?

Credit usage and rollover depend on your plan — check your Pricing plan or Billing settings for the specifics of your subscription.
